What does managing an exercise Include?

Managing an exercise includes:
- Making amendments to exercises (the title, the selected scenario, participants assigned)
- Close an active exercise – closing an exercise will prevent users from being able to continue participating in the exercise
- Start a pending exercise – starting an exercise means that users will be able to participate in the exercise
- Deleting an exercise – this will mean any completion data associated with the exercise will be lost
Pending exercises are those that have a start date set in the future or those that have no start date set but have not been manually started by a Manager. Active exercises are those that are currently in progress; the start date has been met. Ended exercises are those that have been completed by participants assigned or those where the end date has been met/ have been closed manually by a Manager. |
How to make amendments to exercises
Making amendments to exercises after publication is straightforward:
- Navigate to Exercise in the main navigation menu and select Immersive Crisis Simulations.
- Search for the exercise you'd like to change in the 'Managed by me' area, or the 'All Exercises' area
- Select the exercise by clicking on it.
- Select the 'Edit' button below the exercise title.
- You're able to change:
- The title
- The scenario it's based on
- The start date and deadline
- Assignee details (For single player and drill exercises only)

- Edit Exercise Title to make an amendment to the title of the exercise or the dates set
- Edit Selected Scenario to change the scenario an exercise is based on
- Edit Participants to assign new participants to the exercise or remove existing assignments
6. Make sure to 'Confirm and Publish' any amendments made, to save these changes.
Note: Making changes to Participants Assigned Only new participants added to the exercise when editing it will receive an email alerting them of the exercise assignment. |
Note: If an exercise is already Active, you can only make amendments if it is a single player exercise. You'll only be able to edit the following:
If your exercise is a drill or presentation that is already active but you need to make important amendments to, end the exercise and schedule a new one. Check to see whether any participants have completed the active exercise before doing so. |
Starting or ending an exercise
Starting an exercise
An exercise will start on the start date specified in the settings when scheduling your exercise. However, setting a start date is optional.
As a Crisis Sim Manager, you can manually start an exercise. Doing so will also override any start date previously set.
To start an exercise, navigate to the 'Managed by me' or 'All exercises' area, and filter by 'Pending' exercises. Select the exercise you want to start and click Play Exercise.
Note: once you've started an exercise, you can only make amendments to it if it is a single player exercise.
Single-Screen Presentation View
The single-screen Presentation view allows facilitators to view and present the crisis simulation on a single screen, designed to enhance the facilitation and participant experience during a crisis simulation exercise.
The single-screen Presentation view includes an optional timer for injects to help manage the flow and pacing of the simulation. Additionally, facilitators have the ability to navigate back to previous injects in a read-only mode, allowing for review and reference during the exercise. To ensure all participants have access to the necessary information, the companion app displays all on-screen content, including static media.
The Presentation view features a modern visual design, incorporating the latest Immersive branding for an engaging and user-friendly interface. This updated look and feel ensures a seamless and intuitive experience for both facilitators and participants.
The single-screen Presentation view displays all relevant information, such as the scenario, incident details, response options, and any supporting materials, in a unified manner. This eliminates the need for multiple windows, making it easier for facilitators to navigate and share information with participants. By utilizing the enhanced single-screen presentation view, facilitators can effectively guide participants through the crisis simulation, present key information with greater control, and ensure all participants have a comprehensive and visually clear understanding of the scenario and available response options.
Please note that the 'Dual Screen Facilitator view' has been temporarily removed. We are actively working on a revamped version of this feature and will announce its return in a future update.
Ending an exercise
An exercise will end on the deadline specified in the settings, when scheduling your exercise. If you have not set a deadline, exercises will end when completed by all participants, or when closed by a Manager.
To do so, navigate to the 'Managed by me' or 'All exercises' area and filter by 'active' exercises. Select the exercise you want to end, and then click the 'Close Exercise' button.
Deleting an exercise
There may be cases where you've created an exercise that you no longer want to run. You can close the exercise at any point. However, deleting an exercise will completely delete it from the platform.
We do not recommend deleting exercises that participants engaged with, as this means all reporting data will be lost.
To delete the exercise, select it and then select the 'Delete exercise' button.
Note: You can only delete a closed exercise.
To delete an active exercise, close this and then delete it.
To delete a pending exercise, start the exercise, close it, and then delete it.
What if an exercise is accidentally deleted?
If you have accidentally deleted an exercise, contact Customer Support with the details. Our team will then look into recovering the exercise.
Note: It is not possible to recover a scenario. It is only possible to recover an exercise. An exercise is a playable instance of a given scenario that was assigned to participants.
