Platform roles required: Organization Admin, Team Manager
This guide contains the following sections:
What are lab collections and career paths?
To make it easier to find the right content, we group our labs into collections and career paths. These are mapped to industry standards and Immersive frameworks.
Lab collections are groups of labs on the same subject, for example PowerShell or Linux command lines.
Career paths include lab collections that have been grouped together to take a user from a beginner to advanced level in a specific profession, such as a Secure Python Developer.
As an Organization Manager or Team Admin, you can assign lab collections and/or career paths to your organization or team(s) to target them with content that is relevant.
Note that managers can make multiple assignments of the same collection to the same group of people, which allows them to re-assign content that has previously been completed to meet compliance requirements. For example, if your Application Developers are required to complete OWASP Top 10 security training annually, you can re-assign this training to your developers, even if they have previously completed the labs and training.
How do I assign lab collections and/or career paths
To assign lab collections, custom collections, or career paths to your team(s).
- Navigate to the collection or career path that you want to assign and click +Assign.
- From the Create Assignment window, enter an assignment title; this title will be appended to the Collection Title. Note that the assignment title must be unique.
- Set the assignment duration:
Start date When setting a start date, the assigned users will be re-assigned the collection or career path even if they have previously been assigned this content. An email notification alerting the leaner that they have a new assignment will be sent at the defined start date of the assignment. You must select a data and time.
End date (optional) - End dates are "soft" deadlines i.e., a learner is not prevented from completing the content past the deadline. Note that, if an End Date is set, once that date has passed the assignment is closed and will no longer be assigned to new users joining the organization.
When a Start Date and an End Date are both set, users joining the organization will be assigned the new content even if they join before the start date. However, they will only see it on their Launchpad once the start date is reached, at which point the assignment becomes “active”.
If just a Start Date is set (but not an End Date), users joining the organization will be assigned the new content even if they join before the start date and this will continue forever as there is no end date.
Allow Late Completions - This option is only available if you have added an assignment end date and provides additional time for users to complete the assignment once the end date has passed. if you enable this option, you must enter a Late Completion date. Participants who miss the final end date will be marked as overdue.
Exclude past attempts - If enabled, participants who have already completed or started the selected collection or career path will need to do it again.
- From the Add your participants area, select the team or individuals to whom these labs will be assigned. You can use the Search field to find specific teams or individuals. Note that you can select the Assign to organization option to assign the collection to your entire organization.
- Click the Add button for the desired team or individual.
-
Select Assign to organization if you’d like everyone in your organization to complete it. This will include any new users when they first log in to the platform.
-
From the Review area, you can see the assignment details before you assign the collection or career path to the selected number of users.
- Click Assign users once you have reviewed and accepted the assignment details. All of the users you assigned it to will receive an email and in-platform notification.
Managing Assignments
Note: For details on managing all assignments that you have made or own, please refer to the Managing Assignments article.
You can review the assignments from the Manage Assignments tab on the Collection page for a clear view of who is assigned content across the org, status of assignment and deadlines.
Notes
- If you’re a Team Manager, you can only assign content to your entire team or individual team members. An Organization Manager can assign content to anyone in your organization
- Assigning to a team or the organization will mean content will automatically get assigned to new members joining the team or organization.
- If you remove an organization-level assignment after initially assigning it to the organization, then this will remove the assignment from everyone in the organization that is not also assigned via another route (as a team or individual).
- If your organization has different licenses for different teams, ensure users can access the content you're assigning to them. We use color to differentiate our content – visit our content and licensing guide for more information
- Immersive has implemented a Bulk Assignments performance feature across the Immersive One platform that allows administrator to efficiently assign labs or collections to multiple users at once. This feature is particularly useful when there is a need to assign the same set of labs or collections to a large group of users simultaneously.
Note: email notificationsLearners will receive an email notification alerting them that they have been assigned a collection or career path when:
As well as upon assignment, users will receive email reminders to complete the assigned content. These reminders only get sent to assignees that have not yet completed the content assigned. Reminder frequencyThese reminders go out 15, 10, 5 and 1 day prior to the deadline/due date set. For shorter deadlines, the reminder emails that don't apply won't be sent (e.g., a 11 day deadline will mean the 15 day reminder won't get sent). There'll also be an additional email 2 days after the deadline has been breached. |
Editing an Assignment
The Edit Assignment feature offers managers the ability to modify Pending, Active, or Closed Assignments within the platform. This enables managers to refine Assignments before deployment by editing various components such as titles, start and end dates, and user groups, promoting flexibility and adaptability in program development and deployment processes.
To edit an assignment:
- From the Management Assignments tab, click the three dots after the View Assignee Progress link in the Actions tab and then select Edit Assignment:
- Edit the details or the assignees for the Assignment and save.
Deleting an Assignment
This feature allows customers to delete Assignments within the platform, providing greater control over managing the lifecycle of Assignments. With this functionality, managers and learners can now easily manage active and visible Assignments, leading to a more streamlined and organized learning experience on the platform.
To delete an assignment, click the Edit Assignment option as described above and at the bottom of the Assignment page click Delete assignment and then confirm the deletion.
Assignment Progress
You can review the progress of the assigned labs from the Assignment Progress tab of each collection or career path. From the Assignment Title drop-down list, you can select the specific assignment (such as 2024 Compliance, 2025 Compliance, etc.) in order to assist in annual compliance reporting on the same collection.
